Data Management through Administrative Options |

Volunteer Coordinator 2005 provides you with the ability to perform various administrative functions to manage your database of information. These administrative options provide powerful tools for both single-event users as well as organizations using the program for ongoing staffing. |

There are four basic categories of administrative functions provided in Volunteer Coordinator 2005 that allow you to change multiple records at the same time. They include List Manager, Schedule Manager, File Manager and Volunteer Manager which is shown below.

The Volunteer Manager form provides extensive functionality to Volunteer Coordinator users. This form is used to make changes to multiple records at one time. Simply select the names of the volunteers for whom you wish to make the same change in information, if applicable, select the value of the new field you wish to change (e.g. make active status true as shown below), and then click the button associated with change in information you desire. Confirmation messages are provided to ensure you wish to make the changes you have requested! It's that simple!! |

It can be used as a "resetting" tool when preparing for a new event or a new reporting period. For example, you may wish to clear various check boxes and the postions requested prior to a new event, or delete all extra hours records prior to the start of the next quarter. |

Similarly, it can be used during or after the event to modify volunteer information. For example, you can check the orientation box for multiple individuals upon completion of the volunteer's orientation session, or you can assign a specific gift type to multiple volunteers at once. |

Using this form has the same effect as making changes through each volunteer's individual registration form; however, using this form is much more time effective and much less tedious. |

As you can see, learning to use the Volunteer Manager form provides a highly effective means by which to manage your volunteer data. |

List manager allows you to create several drop down lists used within the program – this feature enables you to better utilize the forms more specifically to your organizations needs. |

| |
|
 |
Schedule Manager allows you to change multiple volunteer and shift schedules at one time. This form also allows you to change the dates in the shift schedules. |

|
|
|
| |
|
 |
File Manager allows you to make backup copies of your database file as well as restore/retrieve data from a backup. |
